The Museum of Jewish Heritage – A Living Memorial to the Holocaust seeks a qualified and motivated candidate for the position of Collections Information & Digital Asset Specialist. This is a highly technical full-time role in the Collection Information and Digital Asset Managment sub-department, supporting the Director of CIDA in the administration and maintenance of museum databases, overseeing daily operations, working closely with the entire Collections and Exhibitions Department to determine user needs, provide support, training, develop technical manuals, improve processes, and increase adoption of best practices for all Gallery Systems products including TMS Collections, eMuseum, and MediaStudio, and other systems as needed.

Job Responsibilities:

  • Provides day-to-day and administrative oversight of the Gallery Systems suite of products including: TMS Collections CMS, eMuseum web portal, MediaStudio DAM).
  • Manages day-to-day operations and personnel, including the supervision of consultants, interns, volunteers, project and cross-functional staff.
  • Troubleshoots issues related to errors and other issues with the database and integrated applications and works with Director of CIDA, IT and Gallery Systems to address underlying aspects related to operating systems and hardware.
  • Produces and distributes regular reports on actions and activities related to the system.
  • Formats TMS Collections widgets and creates new data entry forms (condition reports, intake forms and other registration/curatorial/conservation related forms).
  • Applies project management methodologies for the CMS and related projects.
  • Serves as secondary liaison to CMS vendor for user concerns; escalates support requests as needed, reports bugs.
  • Maintains records of system customizations, upgrades, integrations, testing, and maintenance.
  • Supports data mapping and integrations between the CMS and other platforms and content management systems, assists with eMuseum maintenance.
  • Writes SQL scripts as needed for data management and assisting users with complex queries. Develops advanced Crystal reports.
  • Collaborates with stakeholders to gather detailed information in anticipation of feature enhancements and architectural changes, standardization of field usage, preferred terminology, and vocabulary authority controls in concert with the Director of CIDA to design and implement system configurations.
  • Plans and manages large scale data clean-up projects to improve data integrity, quality assurance, and normalization.
  • Supports digital asset management efforts by ensuring embedded metadata is added to digital assets, provides quality control for assets across multiple platforms, attaches digital assets to object records manually and through automated ingest. Other DAM (Digital Asset Management), data entry, and knowledge management projects as assigned.

Requirements:

  • Experience with TMS is required. Digital Asset Management experience is strongly preferred.
  • Demonstrable success using SQL required. Knowledge of JSON, XML, HTML a plus.
  • College degree with at least two years of experience in a museum, archive, or library; pursuit or completion of MLIS or similar degree is a plus! Those who do not meet the educational requirements but can demonstrate considerable experience working with TMS/DAM in a museum setting, or those with demonstrable experience developing relational databases are encouraged to apply.
  • Experience working with at least one metadata standard CDWA, IIIF, Dublin Core, EAD, ISAD(G), RAD, RDA, MARC21, DACS, EIDR, etc.) a plus.
  • Ability to rapidly prioritize projects with overlapping deadlines.
  • Self-starter, able to work unsupervised with meticulous attention to detail.
  • Effective communication and interpersonal skills, including cultural agility and active listening.
  • Project management or software development certifications are a plus.
  • Ability to work collaboratively and with staff at all levels of the organization.
  • Ability to work effectively under pressure and with changing priorities, including demonstrated self-care skills.
  • Ability to build and maintain effective relationships with staff members and to work in teams in a way that empowers team-mates.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
  • Knowledge of copyright, licensing, publishing are helpful, but not required.

Position Details:

  • Reports to Director of Collection Information & Digital Assets
  • Annual compensation range $50,000 – 60,000 
  • Full-time, 40 hours weekly
